Mail & Switchroom Clerk
Responsible for the efficient collection, processing, sorting, and distribution of incoming and outgoing mail and packages for the College community. This position also serves as the primary operator for the College’s telephone switchboard, providing courteous and professional assistance to callers, visitors, faculty, staff, and students. The role requires strong organizational skills, attention to detail, and a commitment to excellent customer service.
Responsibilities
- Retrieve incoming mail from the local United States Post Office and sort at College post office.
- Sort and distribute incoming mail to departmental and individual campus mailboxes in a timely and accurate manner.
- Receive, log, and distribute packages delivered through postal and commercial carriers, including UPS, FedEx, DHL, and other shipping services.
- Process outgoing mail utilizing postal equipment and prepare mailings in accordance with postal regulations and College procedures.
- Deliver outgoing mail to the local Post Office as required.
- Operate and maintain postage equipment and monitor postage supply levels.
- Maintain an organized, efficient, and secure mailroom environment.
- Serve as the primary operator for the College switchboard, answering, screening, and directing incoming calls in a professional and courteous manner.
- Provide information and assistance to callers and route inquiries to the appropriate offices or personnel.
- Monitor and maintain adequate inventory levels of copier paper and distribute supplies to campus offices as requested.
- Coordinate recruitment, training and scheduling of student workers to assist with staffing the mailroom.
- Operate College vehicles and equipment safely while performing assigned duties.
- Responsible for other duties as assigned.
Knowledge/Skills/Abilities
- Experience operating multi-line phone systems or switchboards preferred
- Must possess and maintain a valid Driver’s License with clean driving record.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Ability to organize, prioritize, and complete tasks accurately and efficiently.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Working knowledge of standard office equipment and basic computer applications.
- Ability to work independently with minimal supervision.
- Attention to detail and commitment to accuracy.
Qualifications
- High school diploma or GED required.
- One (1) year of experience in mail services, customer service, office support, or a related field preferred
Physical Demands
- Frequent standing and walking throughout the day.
- Frequent use of hands and arms to sort, carry, and distribute mail and packages
- Ability to bend, stoop, reach, and climb stairs on a regular basis.
- Ability to safely operate a hand truck.
- Ability to lift and carry items weighing up to 60 pounds.
- Sufficient hand-eye coordination to accurately sort, process, and distribute mail.
